  • Four years of experience working in accounts payable, disbursements or within a comparable financial accounting area. (Per job description, significant other public sector or commercial accounting experience may substitute for required experience).

  • Strong analytical skills.

  • Strong organizational skills and flexibility in a deadline driven environment.

  • Strong communication and customer service skills.

  • Experience working in a central university office or similar complex organization performing accounts payable, travel or disbursements work.

Description of Job Duties

  • Process invoices accurately and timely. Ensure proper matching of purchasing and receiving documents and proper distribution of expenses to general ledger.

  • Ensure compliance with the Texas Prompt Payment Act and other applicable regulations.

  • Organize and track workload using departmental prescribed processes.

  • Assist faculty and staff on financial and administrative matters, related to the responsibilities of Disbursements and Travel Services.

  • Provide technical information and instruction to university personnel regarding procedures, methods and fiscal controls involved in processing disbursements. Accurately explain policies and procedures to enhance customer service and satisfaction.

  • Properly document all files for audit trail. Maintain accurate and organized filing systems for electronic and paper files.

  • Resolve assigned disbursements and travel issues. Utilize and select the correct standard form or email response to solicit additional information. Ensure timely follow-up on non-responsive requests.

  • Prepare and maintain logs and reports using spreadsheets to track or report various information.

  • Perform other duties as assigned.

  • Special assignments may include:

  • Daily check processing and report distribution.

  • Vendor File Maintenance

  • Vendor holds and check reissues.

  • Returned/cancellation/stop payment check processing.

  • Approval of Travel in/out of state and foreign vouchers. Facilitating travel advance and travel cards.

  • Other administrative duties may include: monitoring the general office email box or ordering office supplies etc.

  • Perform other duties as assigned.
